Executive Assistant

Description:
The Executive Assistant is responsible for providing a daily suite of comprehensive administrative support actions to our Chief Financial Officer and Chief of Staff. Specifically, you will effectively manage all administrative tasks for the executives by utilizing your exceptional understanding of executive protocol, impeccable etiquette and ability to manage multiple demanding individuals in a rapidly changing environment.

    Responsibilities:
  • Schedule internal and external meetings across the globe on behalf of the CFO, COS and other C-Suite executives as identified
  • Deliver travel and other related arrangements for executive trips and meetings globally
  • Plan and execute corporate events for internal and external clients
  • Open and sort all incoming mail for CFO, CSO and other C-Suite executives as identified
  • Answer the telephone and screen calls for all C-Suite executives
  • File and track of key company documents
  • Manage executive office equipment and supplies
  • Follow-up for all periodic reports required from IO staff members
  • Administer corporate calendar and communicate it to others as necessary
  • Maintain well-organized files in both electronic and hard copy format
  • Send express documents and maintain express mail computer files
  • Complete general faxing, copy and scan documents
    Qualifications & Education:
  • Associate’s degree or Administrative Certification
  • 5+ years in an executive administrative capacity
  • 2+ years in a complex administrative role
  • Demonstrated skill with travel arrangements, meeting and event planning, and personal assistant tasks
  • Ability to use discretion when using corporate credit card for work-related purchases
  • Excellent oral and written communication skills
  • Demonstrated ability to multi-task and work under pressure, with attention to detail under tight deadlines
  • Ability to work in a fast-growing, high energy environment and react to change in a positive manner
  • Ability to work varied hours, across weekdays and weekends, with minimal notice
  • Highly proficient computer skills, including excellent Microsoft Office and Internet capabilities
  • Demonstrate impeccable etiquette and superior ability to maintain confidentiality
